How can Synology NAS synchronize the Calendar and Contacts in Outlook 2019/2021 (Office 365)?

If you own a Synology NAS, you're likely aware that it comes loaded with a variety of server software, including calendar and contact servers. If you're wondering how to sync your Synology CardDAV and CalDAV servers with Microsoft Outlook, you're in the right place.

Synchronizing Synology CardDAV and CalDAV has always been a pain.. Because of the out dated information documented in the Synology KB, and correct port and URL is never revealed clearly. Luckily, EVO collaborator has successfully discovered the latest working PORT and URL for both CardDAV and CalDAV on Synology, let's do it.

First, make sure you have CardDAV and Synology Calendar package installed in Synology NAS.

Synology NAS uses port 8008 for CardDAV service.

Synology NAS uses port 5000 for CalDAV calendar service.

Edit the user account who will use these services, make sure calendar application is ticked.

Open these 2 ports in your router's port mapping settings.

These settings are usually located in NAT or Virtual Servers section.

Now open https://www.evomailserver.com/ to download the contacts and calendars synchronization add-in. EVO Collaborator for Outlook.

Download EVO Collaborator for Outlook and install it.

Install it

Open Outlook (classic), click EVO ribbon tab, sometimes it maybe hidden, expand the tool bar in this case.

Click Configure Profile.

Click profile 21.

Enter your url and port 8008 like http://domain:8008

Then enter username and password.

Click test, and apply then quit.

If everything is correct, ECO will start to sync your Synology Contacts and Calendars with Outlook.

A recent inquiry was posed to me regarding how to synchronize Android contacts (Samsung, Mi, etc.) and calendars with Outlook Office 365. Certainly, this is achievable!

If you own an Android device like Samsung or Xiaomi, chances are you already possess a Gmail account, seamlessly linked with Google's cloud services. Now, what's needed is a tool capable of performing functions similar to Google Apps Sync for Microsoft Outlook or Google Calendar Sync.

What is going on now?

Therefore, the idea is to synchronize both Android and Outlook with Google contacts and calendar, thus ensuring synchronization between your Android and Outlook devices. Now, let's delve into how to achieve this.

ECO is an Outlook add-in for CalDAV synchronization

EVO Collaborator for Outlook and Outlook work together to perform a two-way sync between your Gmail account and Outlook. Any sync result to your Gmail account will also sync’d with your Android phone.

What are CardDAV and CalDAV?

CardDAV and CalDAV are standard protocol API by IETF’s RFC for contacts and calendars. Google is using contacts api and calendar api to take care of contacts and calendars at the backend to service their customers’ needs on such information.

How do I do it?

It is easier than a breeze with ECO. Simply:

1. Download ECO from EVO Official Site and install it with admin’s privilege on your Outlook.

   

2. Open Outlook and click on EVO ribbon at the top banner, click on Configure profile

   

3. Select Profile #6. Fill in your Gmail account under Full e-mail address or Username and click on TEST to proceed Google's OAuth 2.0

   

4. Upon sync completion, your Android smartphone and Outlook are sync’d.

What version of Outlook do I have?

ECO is compatible with all Outlook versions from 2007 onwards, including 2010, 2013, 2016, 2019, 2021, and Office 365 (Microsoft 365). If you're unsure about your Outlook version, you can refer to this help page for assistance.

This error message can appear in Outlook if you are using another sync plugin for Outlook, which means that the plugin cannot bypass Outlook's security checks and this is really annoying and unusable, luckily there is no such problem in ECO.

Import ICS from Google Calendar

Some sites also recommend to export the ICS URL of the calendar from Google Calendar and log into Outlook, I don't recommend it because it's only one way, so Outlook can't edit the event in Google Calendar.

Additional tools for synchronization

Besides ECO, there are other ways to sync Outlook with Google, such as GSYNCIT and SYNC2, but I still recommend ECO.

3. Click on Configure profile(s)and click Profile #6 with filling in your Gmail email account in space below Full e-mail address or username. Then click on TEST at the bottom.

   

4. Because GMail uses OAUTH 2, you'll see an OAUTH authentication dialog during the account detection, just authorize it and continue. (if you can not click the authorize button, please check if your IE is updated to latest available)

   

5. When finished, click on Apply and Quit. Then, any newly added contacts, calendar under Gmail folder will be syncing in a bi-directional fashion. Any items that were added on your Android phone will be synced into Outlook.

   

Besides what we just talked about, as you know that CardDAV and CalDAV are written according to industrial standards, therefore you can expect ECO to work with any other CardDAV/CalDAV services for the same tasks..

It has been 2 years since I last wrote the article about “How to synchronize Google Calendar with Outlook”. Lots of things have changed since then. Now, many of you already know how to sync Google Calendar and address book with Office 365, Outlook 2019/2016/2010/2013/2007. Today, I am going to update this article and elaborate on how to also sync Google Task with Outlook, how to sync Google Calendar in real-time.

Push Technology

Other than GASMO matter, I believe that many of you are using Android smart phones. When your Gmail account has e-mails coming in, your smartphone will notify you. Perhaps you are getting so used to it and you do not realize that it is the Gmail Push Email feature doing the job. With this push notification scheme, you can receive emails in real-time. However, when you use Outlook, it is still only designed to check for emails every few minutes.

What is real-time Google Calendar Sync with Outlook?

Calendar entries you created elsewhere (for example on an android smartphone) are pushed to your other devices or software immediately. As far as I know, almost all other sync tools still rely on manual or sync-counter to pull new entries from Google Calendar.

Be sure to click on Calendar/People/Tasks section at lower-left within Outlook and you will find your contact/calendar/task entries inside Gmail contacts/Gmail calendar/Gmail task respectively.

What is BCC in email?

In term of e-mail knowledge, BCC means Blind Carbon Copy. It serves a purpose of sending extra e-mail messages to another party without acknowledging recipients in both To: and CC: fields of such forwarding action.

In Outlook 2016/2019, auto BCC is missing?

If you use Outlook at work, you probably have met some situation where you need to BCC outgoing e-mail messages to your boss for various reasons. However, when you click on New Email to start writing, you do not see BCC field anywhere. How do we display BCC field?

It is easy! In New Email window, simply click on OPTIONS on menu and click on Bcc button above Show Fields. Then, you will see an extra field of Bcc... popping up below Cc.... This field will stay there permanently in the future when you write new e-mails.

How to BCC sender itself?

When an e-mail is sent, there will be a copy in Sent Items (Items sent) folder. It is technically a way of auto BCC sender itself. However, it is hard to trace a particular e-mail among hundreds of sent items. This method does work out very well.

Some thinks that you can create a rule to send a copy of sent emails to a specified folder when some pre-defined conditions are met. But, there is one drawback that you cannot filter BCC yourself the outgoing mails.

Auto BCC via VBA scripts?

By using Outlook's Rules and Alerts feature, it is only possible to CC to other e-mail addresses. Then, how to perform auto-BCC? Please refer to this article of How to send Auto BCC Outlook 2016. It is not as efficient for regular desktop users because it requires certain knowledge of program coding and it is not ready to use.

Auto BCC via Third-party Outlook Add-in?

The simplest way to get the job done is using a third-party Outlook add-in. There are a few venders out there, such as Power Toys for Outlook's ABCC, AbleBits's Auto BCC, and etc. The concept is as straight forward as listing BCC recipients, defining filter rules and done.

Using an add-in with filter to trigger auto-BCC enables users to selectively send e-mail messages when certain conditions are met. It fits better into daily practice unlike auto BCC via VBA forwarding every e-mail every time.

For example, Power Toys for Outlook's ABCC feature picks 5 fields within an e-mail that most depicts intentions or purposes of what this e-mail is about. With From, To, Subject, Body, and Attachment file name, users can easily filter keyword-related e-mails and send them to some mailboxes they want. The best part of this auto-bcc feature is that the original recipient will not be aware of this secret e-mail forwarding on the back.

However, our suggestion to intended users is using this feature wisely. Be aware of what you are doing and do not attempt any unnecessary law violation.

Our biz partner came from Australia and he has trouble synchronizing his contact, calendar & task with Outlook 2016 and Office 365. He was disappointed that FastMail does not have solution for synchronization between his FastMail account and Outlook 2016/2013/2019/2010/2007. 

He was asking me if I have come across with any third-party solution. This makes me flashing back that EVO Collaborator for Outlook does support a variety of on-premises & cloud services.

I told him about the website and he was on his own. A few days later, he called me and gave me a surprising answer. Yes! It does support FastMail server as well as many other paid or free mail servers. He briefly told me a few steps on how to sync with FastMail. Here, I like to share with you guys in case you need it:

3. Click on Profile #22 or later as long as it is vacant.

In 2024, an increasing number of jobs require remote work due to the ongoing COVID-19 pandemic. For many, syncing calendars, contacts, and tasks from home to coordinate with colleagues has become a challenge, especially for those unfamiliar with the process.

It's time to share some new IT solutions with you. Recently, someone asked me, "How can I sync Outlook Contacts and Calendars with my studio's Mac mini running OS X Server (Catalina)?"

Yes, you can do it! It would be ideal if everyone used macOS, but life isn't always that simple. Let's say your friend runs a macOS Server and provides you with access to its CardDAV and CalDAV services, but you only have Microsoft Outlook 2013, 2016, or 2019. How can you share and sync all entries between each other? It’s a challenging task, believe it or not. To be honest, I hadn't found a solution until a few days ago when I visited the EVO Collaborator for Outlook webpage.
